Availability
Waitlist management is a paid feature. On the free plan, the Waitlist tab shows a prompt to upgrade, and the settings are locked. Once available on your plan, you can enable waitlists per event and manage the line from the Shifts & Registrations tab.Enabling a waitlist
Open your event and select the Waitlist tab. Turn on Enable waitlist, then configure:- Maximum waitlist size per shift — how many volunteers can wait for each shift (1–50).
- Auto-promote — automatically offer an open spot to the next person in line. Leave this on for a hands-off waitlist, or turn it off to promote people yourself.
- Acceptance window (hours) — how long a promoted volunteer has to accept before the offer moves on (1–72).
The Waitlist tab also shows a live count of how many volunteers are Waiting and how many have a Pending offer.
Managing the waitlist
Waitlisters appear under each shift on the Shifts & Registrations tab, in line order. For each person you can:- Promote — offer the open spot to that person. They’re notified and have until the end of the acceptance window to accept.
- Reorder — use the up and down arrows to move someone earlier or later in line.
- Remove — take someone off the waitlist entirely.
With Auto-promote on, spots are offered automatically as they open. Manual Promote is there for when you want to choose who gets the next spot.
